The ownership file at Villa Miami: what an owner keeps after closing

The ownership file at Villa Miami is the set of papers that proves what you own, governs how the building runs and records your home as it was delivered. Before contract you read the offering package; after closing you keep what it became. Here is what goes in the file, what to ask for at closing, and who should hold it while you are away.

This page is a framework. Whether the building suits you is a separate conversation. Contact the desk at Miami Dossier for the current position on any building we cover.

What The File Is For

Every later question has a paper.

An owner is asked for documents for years after closing: by a lender at a refinance, an insurer after a storm, the property appraiser when homestead is claimed, the association when a rule is disputed, and the counsel of whoever buys from you one day. Each request has one answer in one paper. An owner who keeps the file answers in an afternoon; one who does not spends weeks chasing copies, often from abroad.

How many owners the association serves shapes how much paper it produces: 55 floors, 49 of them residential, three of club · ~70 homes by the public record, every one a half floor or a full floor · a three level penthouse at the crown.

The Villa Miami dossier holds the developer’s published record. Read it against the Kempinski Residences Miami Design District dossier for the nearest comparison.

The Papers That Prove You Own It

Deed, title policy, closing statement.

Three papers prove ownership. The deed, recorded in the county’s official records, with its instrument number. The owner’s title insurance policy, which usually arrives weeks after closing and is worth chasing if it does not. The final closing statement, which shows what was paid, to whom, and every credit applied. Where title is held through a trust or a company, add the formation papers, a current certificate of good standing and the resolution that authorised the purchase.

The Papers That Govern The Building

The condominium documents as recorded, and what follows.

The declaration, the articles and the bylaws as finally recorded, with every amendment since; the rules the board adopts; the current budget with its reserve schedule; the master insurance certificate; and, as they are produced, the structural inspection and reserve study reports and the minutes of owners’ meetings. The recorded declaration can differ from the draft read before contract, so the recorded version is the one to keep. Where an operator or a brand is involved, add the management or licence agreement and any shared facilities agreement, since those set what owners pay for services they did not choose.

Who runs Villa Miami: Villa, under licence from Major Food Group · the building programmed and serviced by MFG · the restaurant, dock and helipad sit in commercial components sold separately, so their operation is not guaranteed. What the budget pays to keep running: ~20,000 SF over three club levels by Charles and Co · a Lake Como style floating pool vessel on the bay · MFG restaurant with private dining for residents · juice bar and coffee lounge · Italian thermal spa with plunge pools, steam and sauna · Technogym fitness with yoga, pilates and boxing studios · screening room, game room, library, boardroom · private vaults · on site estate manager and curator.

The Papers That Belong To Your Home

Warranty, plans, assignments, your own policy.

The last part of the file is the home itself: the warranty terms and the date each period began, the signed punch list and the record of each repair, the plan of the unit as built and its finish schedule, the manuals for appliances and systems, the written assignment of any parking space, storage room or cabana, the access devices issued, and your own HO-6 policy with its declarations page. An owner who lives elsewhere part of the year leaves a copy with counsel or a manager in Miami, keeps one in digital form, and tells the association in writing who may act for them. The homes at Villa Miami: Villa Mezzo half floors of 3 to 4 bedrooms, ~2,940 to ~2,970 SF interior · Villa Piano full floors of 4 to 5 bedrooms, ~5,900 to ~5,960 SF interior · Villa Doppio duplexes · two terraces on every home, sunrise and sunset · 10 to 11 foot ceilings. The desk lists the closing papers for Villa Miami with you before the closing date, so nothing on this page has to be chased afterwards.

Closing ends the purchase. The file proves it, for as long as you own.

Common Questions

What the second-home owner asks

What documents should I keep after closing at Villa Miami?
The recorded deed, the owner’s title policy and the closing statement; the condominium documents as recorded, with the budget, insurance and inspection reports; and the records of the home: warranty, punch list, plans, any parking or storage assignment, and your own insurance policy.
When does the owner’s title policy arrive after closing?
Usually some weeks after closing, once the deed and any mortgage are recorded. If it has not arrived within a couple of months, ask the title agent who handled the closing for it in writing.
Is the recorded declaration the same as the draft read before contract?
Not always. Documents can be amended before and after recording, and a material change before closing can give a buyer rights under Florida law. Keep the recorded version and ask counsel to compare it with the draft.

We hold no listings and we are not the developer. Contact the desk at Miami Dossier and we will tell you what applies to your situation, what does not, and where we would not proceed.
